QMaP
Quality Management and Processes
Osprey have developed a bespoke cloud-based system called QMaP (Quality Management and Processes) to track design and progress, and keep detailed evidence of drawings, materials, orders, works and issues that arise on site. Following the principles of ISO 9001 it has many benefits throughout the project lifespan.
Golden Thread
To allow submission to the Building Safety Regulator (BSR), a Pre-Construction Services Agreement (PCSA) scope is required. This will ensure surveys and design reach appropriate levels of compliances, with full consultant approvals to support the application. Osprey will supply the information required as the Principal Contractor (PC) Dutyholder to facilitate the BSR approval.
To ensure the Golden thread requirements are captured, our system follows this process;
- Drawings specify materials and products
- The drawings are approved by the requisite consultants
- The schedules are collated
- The approved materials list for the project is created
- The materials are procured with order confirmations attached
- The delivery notes are scanned
- All elevations are split into grids and a naming convention created
- The installation is recorded using the naming convention through its various phases
- A complete set of photographic records, as-builts and O&M’s are created
Stakeholder Engagement
The QMaP system is managed by Osprey head office and can also be used by key project stakeholders for instant information and progress sharing. This can be achieved by utilising a project dashboard, giving a clear visual of high-level detail, with access to more detailed information in a logical pathway. All the required information can be discussed and the flexibility of the system allows for this to be updated throughout the project.
The QMaP generates accurate applications for payment once final evidence is uploaded for a completed work area.
For the Client to access the QMaP, a Client’s email address needs to be registered. This can be a generic active email address that will give access where required. This email address could then be used by anyone needing access to progress from the project stakeholders and will allow for live updates and comments. Alternatively, we can set up a forwarding email, which can be used for access and forward all emails received to relevant project personnel. QMaP is available on all Windows platforms and Apple web browsers, with free to download Apps in Android and Apple for smart phones and tablets/iPads.
Mandatory Recording and Change
During the course of the project, any changes or requests for information (RFI) will be controlled through our QMaP system. Each RFI and any changes resulting from those requests will be logged via this system to show full accountability for each decision, change and product choice.
Each system-build is carried out at the start of the project, taking into account the specific requirements of the Building Safety Regulator (BSR) requirements and complexities required for the individual site. This allows for a comprehensive and useable system to be implemented from the start of the project, incorporating all Change Requests (CR) through the project and registering the Mandatory Occurrence Reporting (MOR) required. As the works progress, the system will develop in line with the needs of the project, with the ability to serve as a tool for progress sign-off, health and safety surveillance and delivery management.
Site Works
The QMaP system is used by our onsite operatives and accessed via smart phones/tablets. It holds our site inspections, site information, inductions, tool-box talks, inspection test plans and registers. A live spot check can be taken at any time by stakeholders.
Resident Liaison
The QMaP system generates a QR code specific to each project. Residents can login in anytime for up-to-date information, health and safety advice or blog.
Practical Completion made easy
Gateway 3 involves the BSR assessing whether work has been completed in line with the building regulations before occupation – the Golden Thread will be crucial for this. If successful, a Completion Certificate will be issued.
On a standard project, the QMaP already provides much of the information required for the O&M’s and Health & Safety file, making Practical Completion quick and easy.
Why is this important?
With the Building Safety Act 2022 (BSA 2022) enforcing new statutory regulations for Higher-Risk Buildings (HRBs), Building Safety Regulator (BSR) Approval and Mandatory Occurrence Reporting (MOR) system should all be in place before works commence in line with Gateway 2.
